Key Performance Objectives

 Tasks

  • Provide direct support to the Head of the NMG Retirement Funds Administration division with regard to day to day activities which will be defined.
  • Provide support to the NMG Retirement Funds Administration team as required
  • Effective diary management
  • Effective e-mail management
  • Co-ordinate training; i.e. training rooms and attendees
  • Anticipate and prepare material needed by the Manco meetings, appointments, conference etc.
  • Minute taking and distribution and follow through if action items
  • Management of the time keeping system
  • Typing of documentation in MS word, MS Excel and MS PowerPoint
  • Coordinate travel arrangements .i.e. book car hire on online booking portal, booking flights and accommodation with the travel agent
  • Answer telephones, screen calls and relay messages timeously
  • Compile Power-Point presentation
  • Printing of documentation
  • Management of incoming mail
  • Booking of meeting rooms for all internal meetings
  • Taking minutes
  • Arrange refreshments for meetings
  • Management and coordination of  leave forms
  • Prepare purchase requests for payment
  • Prepare expense and reimbursement claims .i.e. expense and cell-phone claims
  • Organise internal functions as and when required
  • Provide organisational support for any external events as and when required
  • Compiling of service level agreements from a template
  • Compiling basic new business tender documents
Minimum Qualification

  • Matric
  • Secretarial Certificate/Diploma
Experience

  •  3 – 5 years secretarial experience at a senior level
