 Key Performance Objectives

 Incoming visitors

  • Receive visitors by projecting a professional image at all times.
  • Ensure that visitors are made feel welcome.
  • Provide information to assist clients or refer them to appropriate contacts.
  • Direct visitors to the correct/relevant people.
  • Announce visitors and ensure they are fetched from reception.
  • Screen walk-ins according to set standards.

Answering calls

  • Answer incoming calls promptly within 4 rings and direct calls to the appropriate staff member.
  • Ensure that accurate messages are taken in the correct format and send timeously.
  • Test lines on a daily basis and send report to line manager.

Administration

  • Sort incoming mail.
  • Record drink orders.
  • Record incoming mail for distribution.
  • Manage driver regarding daily delivery routine, recording items and collection of items by the appropriate staff member.
  • Manage office cleaner and related requirements, i.e. all materials needed.
  • Record and arrange for items to be couriered.
  • Order and manage office stationery and refreshments.
  • Updating of company staff registration list.
  • Manage office petty cash float.
  • Load purchase and payment requests on Fraxion.
  • Updating of extension list and communicate changes to line manager.
  • Arrange relief when on leave.

Perform any other related duties as requested by Management

Minimum Qualification

  • Matric certificate.
 Experience

  • 1 year customer service experience or related.
  • Switchboard experience will be advantageous.
  • Basic accounts management.
